- The table displays the names of the Children and provides spaces to enter the In and Out times as well as to record Absences during that period. Note: DSS can set limits on the number of In or Out times that a Provider can enter. The scroll bar on the right of the table allows you to move through the list of children in that page. Depending on the number of children at the Provider, there might be several pages to enter attendance. In that case, move among the pages by pressing on the appropriate page number link.
If entering attendance for a specific child, you can click on a letter in the Find box to move to the page for a child whose last name starts with that letter.
- The subsidy Child's authorization and the permissions associated with the Provider user type determine the dates for which providers can edit Attendance. KinderConnect uses color backgrounds on the cells:
- White cells indicate that attendance can be registered for a Child on that day, and that the Provider can enter or edit attendance. However, please note that every other white row of child names is shaded in light blue for viewing ease only. The light blue color may be overridden for individual days by other colors such as red or yellow.
- Empty cells indicate that the date is before or after a subsidy Child authorization date, that a private child is not attending on that date, or that the date is in the future. The Provider is not able to enter or edit Attendance in those cells.
- Yellow cells, after entering attendance, indicate missing information or that the In or Out time is missing. The Attendance must be corrected.
- Red cells, after entering attendance, indicate an error such as incorrect information. The Operator needs to review and correct in order to proceed.
- Dark blue cells indicate that the Attendance has already been submitted.
- Dark gray cells indicate that the backdate limit (five (5) calendar days) has been reached and that you can no longer enter attendance for those days.
- A blue highlight in the time field indicates that a Sponsor entered the attendance or that the attendance has been approved by a Sponsor.
- A white background in the time field indicates that a Provider entered the attendance and that it is still pending approval.
- Note that KinderConnect shows Missing Time on incomplete Attendance entries.
For children receiving child care subsidy, click on
next to the name of the Child to review the Units of Care Authorized for each day.
Note: Typically, a Provider should only enter time in KinderConnect if a Parent or Sponsor forgets to check a Child In or Out of care. A Provider can only enter one In or one Out time for the time pairs in a given day. If missing a transaction, a Provider is limited to entering an In or Out time within five (5) calendar days of the missed transaction. All other Attendance entries and corrections must be made by the Parent or Sponsor within five (5) calendar days in KinderSign.
- For every day, there are two sets of In and Out times. These fields are used to record arrival and departure times for children that leave the Provider facility for any reason during the day, whether of school age and the Provider drops off/picks up from school, or if checked out of care for a few hours (i.e. doctor appointment). Note: Attendance can have three sets or more of In and Out times if entered using a device.
- Attendance In and Out times are entered in pairs. The example above reflects a school-age child that is dropped off by the Sponsor at 6:00am, the Provider checks the child out for school at 7:30am, then checks in upon return from school at 2:30pm, and the parent picks up at 5:00pm. KinderConnect automatically reformats certain attendance records: If you type "7a," KinderConnect will convert it to 7:00am.
- Attendance that spans past midnight can be entered on consecutive days. When KinderConnect detects that an unmatched In time occurs on the first day and that an Out time is the first attendance transaction on the next day, it considers the two transactions a valid time pair and automatically inserts an Out time at 11:59pm on the first day and an In time at 12:00am on the next day. If the attendance covers consecutive days of care, KinderConnect automatically enters the In and Out times for the days in between.
- If, after setting a day to Absent, the Provider needs to provide care for a child on that day, the absence must be removed and replaced with actual Attendance:
- Deselect the absence for each child under your care on that day by clicking on the blank field.
- Record attendance for the child.
- If selecting a Holiday, press on Holiday to apply to all children at once.
- Enter the Date of Holiday or use the Calendar button to select.
- Press the drop-down arrow to select the Year.
- Press Save.
Note: A Holiday applies to all children in care on the selected day, Subsidized or Private Pay. You can set multiple Holidays up to a year into the future or up to a year into the past as long as there is no submitted Attendance for that day for any of the children for that Provider. The Holidays will be displayed in a list.
The following conditions will generate an error message when creating a Holiday:
- A child having another attendance type on that day, including incomplete time pairs.
- Attendance already submitted for the day being set as a Holiday.
If, after setting a day to Holiday, the Provider needs to provide care on that day for all children, the Holiday can be removed and replaced with actual Attendance for all children:
- Press Holiday.
- Click Remove to eliminate that Holiday for all children under your care.
Note: KinderConnect removes the holiday association between a child and a provider for any future holidays when the attending checkbox is unchecked.
-
Press Save. It is very important to Save any changes to the Attendance page before moving to another week.
